Handing over responsibilities

Passing raffle duties to someone else when you move on.

People move on — they leave the club, change roles, or hand the fundraising baton to someone new. When that happens, you want the organisation's raffles to carry on without a hitch. There are two clean ways to do it.

Option 1: a shared organisation account

Some groups use a single shared login for the organisation — tied to a shared inbox like raffles@yourgroup.org rather than one person's email. Whoever is responsible at the time uses that account.

  • Good for: continuity. Nothing is tied to an individual, so handovers are just "here's the login."
  • Watch out for: keep the shared inbox and password secure, and update them when someone leaves.

Option 2: add the new person, then step back

Alternatively, keep individual accounts and manage the handover through roles:

  1. Invite the new person and make them an admin of the organisation.
  2. Once they're set up and comfortable, remove yourself from the organisation.
  • Good for: clear accountability — every action is tied to a real person.
  • Watch out for: don't remove yourself until the new admin is fully in place, so the organisation always has someone with full access.

Either way, never leave an org without an admin

Make sure the organisation always has at least one active admin during a handover. Add the new person before you step away, not after.
